Welcome to Golf Getaway! We’re excited to help you plan your ultimate golf holiday. These Booking Terms & Conditions outline the agreement between you and Activate Lifestyle Management Pty Ltd (ABN: 34 096 292), trading as Golf Getaway.
BOOKING TERMS: By confirming your booking with us, you agree to these terms below with Activate Lifestyle Management Pty Ltd (Trading as: Golf Getaway) and that they are legally binding having agreed to them by electronic means (“Booking Terms”). You represent and warrant that you are authorized and have the capacity to accept these Booking Terms. These Booking Terms may include the booking of a Tour (“Tour”) or Tournament (“Tournament”) or Golf School (“Golf School”) conducted by Golf Getaway (or our sister company Golf University) for your benefit as consideration for the fees paid to do so described herein.
BOOKING ON BEHALF OF A GROUP: If you are booking on behalf of a third party, you represent and warrant that you are authorized to accept these Booking Terms on behalf of those you are booking on behalf of and that you will ensure they are legally bound by these Booking Terms.
TOURNAMENT RULES: For each Tournament, specific rules will apply to the competition that will be communicated by Golf Getaway (or our sister company Golf University) when appropriate (“Tournament Rules”). Golf Getaway and their nominated representatives will have absolute discretion regarding rulings and any disputes regarding the Tournament Rules and how they apply.
Payment Terms
1. Your Booking & Payment Options:
To secure your comprehensive golf holiday package, which often includes components (such as golf course bookings, ferry crossings, and car hire) that require full upfront payment to our suppliers, we offer these payment options:
Option A: Full Payment at Time of Booking (Recommended)
Paying the full balance of your golf holiday when you book guarantees all your arrangements immediately and simplifies the process for you. This ensures all required payments to suppliers are made promptly, securing the best available rates and preventing any potential price increases. You can pay via Bank Transfer (recommended to avoid credit card fees) or by Credit Card (see “How You Pay Us & Credit Card Authorization” below).
Option B: Deposit and Final Payment
If you choose not to pay in full upfront, a non-refundable deposit of 50% of the total trip cost is required when you book. This deposit allows us to immediately confirm your golf holiday arrangements. Please be aware that many components of your golf holiday (e.g., golf course bookings, ferry services, car hire) require full upfront payment to our suppliers. Your deposit helps us cover these initial non-recoverable costs on your behalf. The remaining balance of your golf holiday package will be due no later than 14 days prior to your departure date. We’ll confirm your exact final payment due date when you book.
2. Bookings Within Final Payment Period:
If your booking is made within 14 days of your departure date, the full payment for your golf holiday will be required at the time of booking confirmation, regardless of the payment option chosen above.

We accept Visa, Mastercard, and American Express.
By providing your credit card details, you explicitly authorize Activate Lifestyle Management Pty Ltd (Trading as Golf Getaway) to charge this card for all agreed-upon payments related to your golf holiday package. This includes the full retail price you’ve been quoted. The charge on your credit card statement will always appear from “ACTIVATE LIFESTYLE MANAGEMENT PTY LTD” or “GOLF GETAWAY”.
Credit Card Surcharge: Please note that a processing fee applies to credit card payments to cover the costs charged by our payment provider (Stripe).
For domestic cards, a fee of 1.7% + AUD$0.30 applies.
For international cards, a fee of 3.5% + AUD$0.30 applies.
This fee will be added to your total payment. We highly recommend using Bank Transfer to avoid this fee.
Important Note on Rates: The prices quoted for your golf holiday are for a comprehensive package. We do not provide itemized breakdowns of individual component costs as we work with various suppliers and proprietary wholesale rates to offer you the best overall value and streamline your booking experience.
Cancellation & Refunds
4. Unexpected Cancellations – Crucial Information:
Cancellation by Client: All cancellations must be received by Activate Lifestyle Management Pty Ltd (Golf Getaway) in writing (e.g., via email to travel@golfgetaway.com.au ). Cancellation fees will apply based on the date your written cancellation is received by us. Given the upfront payments required by our suppliers for many components of your holiday and the significant administrative work involved in planning and securing your arrangements, cancellation fees are necessary to cover non-recoverable costs and our time.
a) From the initial deposit date up to 15 days prior to your departure date:
Your 50% deposit is strictly non-refundable. This covers our administrative time, planning services and any initial non-recoverable payments made to suppliers on your behalf (eg specific golf course deposits, non-refundable components).
Additionally, an administrative cancellation fee of AUD $250 per person will be applied. This covers staff time and resources dedicated to managing your booking and the subsequent cancellation process and applies from the moment your deposit is paid.
Any recoverable funds from suppliers (after their own cancellation fees, if any) will be refunded to you, less your non-refundable 50% deposit and our AUD $250 per person administrative cancellation fee.
b) Cancellation 14 days or less prior to your departure date:
100% of the total trip cost will be forfeited. At this stage, all payments have been made to our suppliers (including golf courses, ferry operators, car hire, and accommodation), and these bookings become fully non-refundable and non-transferable to us. This means we are unable to recover any funds from our suppliers.
c) Refunds: Any refunds due (after applicable cancellation fees) will be processed back to the original payment method after we have successfully recovered funds from our suppliers, which can take several weeks or longer due to supplier processing times. We cannot guarantee the timeframe for supplier refunds or if they even exist after within the 14 days of travel period.
Recommendation: Comprehensive Travel Insurance is ESSENTIAL.
We HIGHLY RECOMMEND and STRONGLY ADVISE that all clients obtain comprehensive travel insurance at the time of booking and payment of your deposit. This is crucial to protect your significant financial investment in case you need to cancel, interrupt, or change your trip due to unforeseen circumstances (eg illness, injury, natural disaster, family emergency, travel advisories, or other covered events).
Your travel insurance should ideally include coverage for:
Trip Cancellation: To cover non-refundable costs, including the 50% deposit, the AUD $250 per person administrative cancellation fee, and the 100% forfeiture of trip costs for late cancellations.
Medical Emergencies & Evacuation: For any health issues during your trip.
Lost/Delayed Luggage & Golf Equipment: Especially important for valuable golf clubs!
Travel Delays & Interruptions: For unexpected changes to your itinerary.
“Cancel For Any Reason” (CFAR) Insurance: While more expensive, CFAR provides the broadest protection and may be worth considering for significant investments, offering a partial refund for cancellations not covered by standard policies.
It is your sole responsibility to ensure you have adequate travel insurance coverage for your specific needs, particularly for the non-refundable components of your holiday and any cancellation fees. We cannot be held liable for any losses incurred due to a lack of, or insufficient, travel insurance.
Itinerary Changes & Force Majeure
5. Itinerary Changes & Force Majeure:
While Golf Getaway endeavours to perform all Tours / Tournaments / Golf Schools according to the published Itinerary, we reserve the right to change or substitute where necessary for reasons outside of our control including but not limited to: acts of nature, road and or weather conditions, local holidays, strikes, war, civil disturbances, pandemic (e.g. COVID-19 or a variant of the same), advice by government authorities, breakdowns, medical or customs regulations, alterations, cancellations, delays, tender unavailability or golf course cancellations. In such cases, we will substitute (at the nearest possible standard) an alternative where possible. Any changes to an itinerary that incur an additional cost will not be at Golf Getaway’s responsibility to cover for said costs – Golf Getaway will however assist and support with documentation as required for a travel insurance claim (refer to the “Travel Insurance” section below).
Tour / Tournament / Golf School Costs
6. Tour / Tournament / Golf School Costs:
Prices are based on per person, twin/double room or single room and set at the discretion of Golf Getaway. In the event of currency fluctuations, increase in supplier costs or government taxes, Golf Getaway reserves the right to re-cost your package cost. Golf Getaway package pricing includes all items and services described in the itinerary for the relevant Tour / Tournament / Golf School published at the time of booking (“Itinerary”). All other costs associated with the Tour / Tournament / Golf School are payable by you in addition including but not limited to local tipping, airfares, visas, airport taxes, port taxes, security charges, airport transfers, items of a personal nature, laundry, drinks and consumables.
Health & Fitness
7. Health & Fitness:
A good level of health & fitness is required to participate in activities promoted by Golf Getaway as included in the Tour / Tournament / Golf School. It is your responsibility to advise Golf Getaway of any pre-existing medical condition that may affect the normal conduct of the Tour / Tournament / Golf School & enjoyment of others during the same. While Golf Getaway does not have the responsibility to customize a Tour / Tournament / Golf Schools for any single person’s benefit, in the case you have a medical condition that may require further efforts to book services or modify activities, Golf Getaway will always assist however it can. Such modified activities may involve further costs payable by you.
Responsibility & Liability
8. Responsibility & Liability:
Activate Lifestyle Management Pty Ltd (Golf Getaway) acts solely as a booking agent, making reservations with the companies or associates offering the services contained in your Itinerary. While we exercise care in selecting reputable suppliers, we are not responsible for the acts, omissions, or defaults of these suppliers, their employees, or any third parties. We are not liable for any loss, damage, injury, delay, or inconvenience caused by circumstances beyond our control. Further to any liability you assume otherwise, including by venues, courses or establishments during a Tour / Tournament / Golf School, you agree that you travel and participate at your own risk. Golf Getaway and its employees, contractors, representatives, hosts and other suppliers of goods and services accept no liability for any death, injury, property loss or damage incurred during or arising out of any aspect of the conduct of this Tour / Tournament / Golf School. Our liability for any claim arising from your booking is limited to the amount paid by you for the specific services that are the subject of the claim. You fully indemnify Golf Getaway for any liability, loss or damage you cause.
Solo Travellers
9. Solo Travellers:
On request, Golf Getaway will assist with sourcing a room share partner of the same sex. You will be charged the single supplement amount until a room share partner is found, then the single supplement charge will no longer be payable. In the case a room share cannot be found, the single supplement will be charged. Should you be ‘matched’ with another person we cannot be held responsible if the choice is not to your satisfaction. You agree that should Golf Getaway be required to book another room because of your behaviour towards the person allocated to your room share, you will be liable for that cost at the absolute discretion of Golf Getaway.
Airfares & Taxes
10. Airfares & Taxes:
Any airfares, taxes, visa or baggage costs required to attend a Golf Getaway Tour / Tournament / Golf School are your responsibility.
Visas & Passports
11. Visas & Passports:
All passengers must have a passport that is valid for at least six months after their return date to their home country. Passengers are solely responsible for meeting necessary passport and visa entry requirements and paying all associated costs. Golf Getaway is not responsible, nor accepts liability, for any traveller refused entry due to carrying or presenting incorrect documentation to customs or border officials. Visas, including transit visas, are the passenger’s own responsibility. For more information please log on to: dfat.gov.au or www.smarttraveller.gov.au. Please check with the respective Embassy or Consulate of each country that you are travelling to, as many destinations require visas for both Australians and non-Australian passport holders. Special Dietary Requests
12. Special Dietary Requests:
Please note requests for special dietary requirements cannot be guaranteed at all hotels and restaurants however, best efforts are made to ensure suitable meals for all Tour / Tournament / Golf School guests.
Dispute Resolution
13. Dispute Resolution:
You agree that should there be a disagreement or dispute raised between you and any third party including another Tour / Tournament / Golf Schools client, Golf Getaway will have absolute discretion and authority to resolve the same and you will comply with those directions.
Motorised Carts
14. Motorised Carts:
To drive a motorised cart, you agree to possess a current driver’s license, have previous experience driving a golf cart equal to a minimum of four rounds and comply with the rules of the applicable venue, course or establishment. In the event you cause, or partially cause, an incident resulting in personal or property damage, you are responsible for the costs to repair the cart and any property damaged as well as being liable for any personal injury claims and fully indemnify Golf Getaway for any liability, loss or damage you cause.
Travel Insurance
15. Travel Insurance:
It is a condition of your booking that you are adequately insured for your Tour / Tournament / Golf School. We HIGHLY RECOMMEND and STRONGLY ADVISE that all clients obtain comprehensive travel insurance at the time of booking and payment of your deposit. This is crucial to protect your significant financial investment in case you need to cancel, interrupt, or change your trip due to unforeseen circumstances (eg illness, injury, natural disaster, family emergency, travel advisories, or other covered events).
Your travel insurance should ideally include coverage for:
Trip Cancellation: To cover non-refundable costs, including the 50% deposit, the AUD $250 per person administrative cancellation fee, and the 100% forfeiture of trip costs for late cancellations.
Medical Emergencies & Evacuation: For any health issues during your trip.
Lost/Delayed Luggage & Golf Equipment: Especially important for valuable golf clubs!
Travel Delays & Interruptions: For unexpected changes to your itinerary.

You must have access to a copy of your certificate of insurance while travelling. It is your sole responsibility to ensure you have adequate travel insurance coverage for your specific needs, particularly for the non-refundable components of your holiday and any cancellation fees. Golf Getaway will provide assistance with any insurance claim you need to make to your insurer. We cannot be held liable for any losses incurred due to a lack of, or insufficient, travel insurance.
Image Consent
16. Image Consent:
By agreeing to these terms, you consent to the use of my image in photographs or recordings (audio and video) taken at the event for use in the advertising, marketing or promotion of the event or any other event being conducted by Golf Getaway. I also assign all rights, titles, and interest in any and all photographs, motion pictures, recordings or other records of me (or taken by me) during the Tour / Tournament / Golf School to Golf Getaway and our partners. General Legal Provisions
17. Governing Law:
The Booking Terms and all disputes arising hereunder and/or relating hereto shall be governed by and construed in accordance with the laws of the State of New South Wales, Australia, without reference to any principles of conflict of laws. Each of the parties hereto irrevocably waives all right to trial by jury in any action, proceeding or counterclaims arising out of or relating to the Agreement.
The parties agree that in relation to any dispute relating to these Booking Terms an attempt must first be made to resolve it through final and binding arbitration conducted by an arbitrator in Sydney, NSW, and administered by the Institute of Arbitration and Mediation of Australia (“IAMA”) in accordance with the then existing commercial rules of IAMA. Judgment upon the matter and any award rendered will be final and binding.
18. No Waiver:
No waiver of any right or remedy in respect of any occurrence or event on one occasion shall be deemed a waiver of such right or remedy in respect of such an occurrence or event on any other occasion.
19. Integration:
The Booking Terms and any exhibits and schedules attached thereto constitute the entire understanding of the parties with respect to the subject matter of the Booking Terms and supersede all prior agreements, proposals and representations, written or oral, between the parties relating to the subject matter of the Booking Terms. The paragraph headings appearing in the Booking Terms are inserted only as a matter of convenience and in no way define, limit, construe or describe the scope or extent of such paragraph or in any way affect such paragraph.
20. Counterparts:
The Booking Terms may be executed by email and/or PDF and in several counterparts, each of which shall be deemed an original for any purpose, and all of which taken together shall constitute one single agreement between the parties.
21. Interpretation:
The following rules of interpretation apply unless the context requires otherwise: (i) the singular includes the plural and conversely; (ii) where a word or phrase is defined, its other grammatical forms have a corresponding meaning; (iii) a reference to a person includes a body corporate, an unincorporated body or other entity and conversely; and (iv) all references herein to dollars or $ are to Australian dollars.
22. Attorney’s Fees and Costs:
In the event of any dispute, arbitration or litigation arising in any manner with respect to the Booking Terms, the prevailing party shall be entitled to its reasonable attorney’s fees and costs, in addition to any other award.
23. Further Documents:
The parties shall execute and deliver such other documents consistent with the Booking Terms that are reasonably deemed necessary to carry out the intent and purpose of the Booking Terms.
24. No Additional Terms:
No additional terms contained in any invoice, other correspondence, or written or oral communication between the parties will be binding on a party and such additional or conflicting terms are deemed rejected by the parties unless such terms are contained in an amendment to the Booking Terms, or other written agreement executed by both Parties.
