1. Our Role as Your Booking Agent

Activate Lifestyle Management Pty Ltd (trading as Golf Getaway) provides booking and advisory services. We act exclusively as your booking agent and do not provide the Travel Services (flights, accommodation, golf, or transport) ourselves; these are provided by third-party Travel Suppliers. Our expertise lies in the professional design and logistical coordination of these services.

2. Signature Itineraries and Signature Itinerary Design Fee

Our itineraries are expert-designed “blueprints” optimized for logistics and private club access. In order to engage Golf Getaway in the design and verification of member only access and securing logistical allotments for your specific dates, a non-refundable Signature Itinerary Design Fee is required.

This fee covers the professional consultancy and administrative hours required to verify and design your itinerary.
This fee is earned upon commencement of the design and verification process and is strictly non-refundable under any circumstances.

3. Additional Fees, Booking Changes and Incidentals

Voluntary Changes: If you request any changes to your booking after payment of the Total Package Investment has been made, including but not limited to dates, tee-times, flights, car hire, shuttles, or accommodation, a $100 AUD administration fee per change will apply. This fee is separate from, and in addition to, the Signature Itinerary Design Fee.
Payment & Credit Card Fees: All payments made via credit card or through our third-party payment portals (e.g., Golf Getaway’s Itinerary Software) are subject to a non-refundable 3.6% transaction fee. This applies to the Total Package Investment and any subsequent additional bookings or changes.
Incidental Charges: The Total Package Investment covers only the inclusions explicitly listed in your itinerary. Guests are 100% liable for all incidental charges incurred at resorts (including but not limited to spa treatments, laundry, and non-inclusive food/beverages). Resorts will require a valid credit card at check-in for a security hold.
Group Minimums (Groups Only): Pricing for group tours is based on the specific minimum participant numbers stated in your proposal. Should the group size decrease, Golf Getaway reserves the right to adjust the per-person price to account for increased shared logistical costs.
Currency Hedging (Groups Only): For international group bookings quoted in a foreign currency (e.g., USD), the price is fixed in that specific currency. The client is responsible for any fluctuations if converting from a different home currency at the time of payment.
No-Show Policy: If you fail to arrive for a scheduled flight, tee time, or transfer, the remaining components of your tour may be automatically cancelled by the operators and no refunds will be provided.

4. Agency Status and Limitation of Liability

Supplier Terms: You are bound by the specific terms and conditions of each Travel Supplier. Golf Getaway does not guarantee the refund policies of any third-party venue.
Liability: To the extent permitted by Australian Consumer Law, Golf Getaway is not liable for injury, illness, death, loss, or delay caused by Travel Suppliers or Force Majeure events.
Errors and Omissions: We are not responsible for inaccurate information provided by Travel Suppliers.

5. Financial Terms

Total Package Investment: Quotes are presented as a single ‘Total Package Investment’; individual costs are not itemized as they include our professional service margins and proprietary access fees.
Validity: Quotes are valid for 48 hours from issue and require full payment (100% of the Total Package Investment) to secure the booking.
Pricing Errors: We reserve the right to cancel bookings resulting from obvious pricing mistakes.

6. Cancellation and Recovery Management Fee

All cancellation requests must be received in writing. Because our primary work is completed and commissions are earned at the time of booking, the following applies:

Retention of Original Fees: In the event of any cancellation for any reason, Golf Getaway retains 100% of its original service fees and commissions built into the Total Package Investment.
Recovery Management Fee: If a client requests Golf Getaway to negotiate refunds or manage emergency mid-tour “Reverse Logistics” (including for medical or compassionate grounds), this is treated as a new body of professional work. Golf Getaway will charge an additional Recovery Management Fee equal to 10% of the original Total Package Investment to manage this process.
Credit Card Authorization: By providing your credit card details and agreeing to these terms, you authorize Golf Getaway to automatically deduct the Recovery Management Fee from the card on file should you request our services to pursue refunds, manage cancellations or coordinate emergency “Reverse Logistics” mid-tour.
No Guarantee of Recovery: This fee is for professional advocacy and the administrative management of the cancellation or emergency process. It is due regardless of whether Suppliers grant a refund. Recoverable amounts will be returned to you only after they are received from the Travel Suppliers.

7. On-Tour Interruption and Emergency Management

Strict No-Refund Policy: Once a tour has commenced, Golf Getaway operates a strict no-refund policy for any unused segments of the itinerary (including missed rounds, transport, or hotel nights) under any circumstances.
Emergency Assistance: Should a guest require Golf Getaway to manage emergency changes, mid-tour cancellations or alternative travel arrangements, this work is governed by the Recovery Management Fee structure and Credit Card Authorization detailed in Section 6. Work on emergency “Reverse Logistics” will be billed to the credit card on file upon the client’s request for assistance.

8. Tour Conduct and Etiquette

Behaviour: Golf Getaway reserves the right to remove any person from a tour who breaches our standards of conduct or golf course etiquette.
No Refund: Persons removed for conduct issues are not entitled to a refund for any unused portion of the booking.

9. Passenger Responsibilities and Mandatory Insurance

Information Form: You must complete the Passenger Information Form within 72 hours of booking and return to travel@golfgetaway.tv

By submitting this form, you provide express consent for Golf Getaway to securely store and use your personal and sensitive data (including Passport, Driver’s License, and Handicap details) for logistical verification, travel bookings, and CRM integration. We handle all data in accordance with our Privacy Policy and the Privacy Act 1988.

Documentation: You must hold a valid passport (minimum 6 months validity) and all required visas.
Travel Insurance: Comprehensive Travel Insurance is mandatory and highly recommended. Because Golf Getaway operates a strict no-refund policy, insurance is the only way for clients to recoup lost trip costs or the professional fees associated with cancellation and emergency management. Clients must check with their specific travel insurer to confirm which costs are covered as coverage is not guaranteed by Golf Getaway. It is the client’s sole responsibility to ensure coverage for medical emergencies and cancellations. Golf Getaway is not an insurer and bears no responsibility for the outcome of insurance claims.

10. Confidentiality and Agreement

Proprietary Info: Itineraries, access windows, and pricing are the proprietary intellectual property of Golf Getaway.
Acceptance: By submitting payment for any Golf Getaway products or services, you are agreeing to these Terms and Conditions.
